Second Planning Meeting:


Welcome ppl back

Event with 2 big goals

- cross-pollination and connection of creative, technical, and legal communities, and all the hybrids in between

- space for actual work and progress on projects to move forward


Some of the questions we would like to focus in on during Thursday's meeting are:

  • How can the planning committee operate most effectively? Should we do separate calls for different sessions and elements of the agenda, but leave it open for anyone who wants to join in ?
  • Ways to organize the event (and ways to document the event)
  1. Spectrogram : record the spectrogram questions.
  2. Structure of the speedgeeking
  • multiple circles


Multi track breakout projects - need to collect & pick the projects

  • Open Web 101 curriculum - almost like P2P University but for a larger audience. Group could create the structure
  • Presentations about Open Web - Brazil project was looking to develop presentation
  • Privacy Icons
  • Creating a “what does the open web mean to you video” and then having a break-out session where it’s edited in a DIY session, to be screened at end of day.

     Key considerations for the video are what question(s) to ask the attendees

  • Infographics

     Hani was talking about creating an infographic about how one would put together a Drumbeat event

  • Infographics on the open web, or on actual feedback of Drumbeat SD event attendees in Spectrogram or otherwise
  • Creating a video of how to do a Drumbeat event in 5 min.
  • Could include video and images from throughout our Drumbeat process, other Drumbeats, etc.

* How many projects do we want to focus in on the day of?


3-5 projects possibly

  • How should we solicit or gather initial projects? How do we choose projects to focus on at Drumbeat San Diego?


  • How can we use the Drumbeat project site effectively for the event, can it be a chief tool in gathering projects.


  • The site is a great tool for gathering projects, there is a concern about individuals potentially being intimidated by sharing immediately on the Drumbeat site. There may be a need for a pre-project proposal forum to fuel various ideas & projects.

People could submit a DIY session or a project


  • Should we vote on projects and how would we go about that?



Voting on projects ideas:

1/4 the amount of votes it gets
1/4 the motivation and flexibility of the project coordinator
1/4 how well it fits the needs of the San Diego community and we get a spectrum of ppl on the ground to decide how well it fits
1/4 how doable is it in a day and over a couple months

Publicize the winner 3 weeks ahead (create timeline)

  • Registration for the event ? If we use eventbrite and have ppl register and then they can receive a checksheet of the different tech, artist, ect.

We should use Eventbrite or internal Drupal capabilities to create a basic form to collect names for updates. Advantage of eventbrite is that you can easily expose on the registration sheet who is showing up which may spark interest amongst potential attendees.


  • Where & what kind of space to hold the event?


The space has to be modular (no auditoriums) movable chairs

Museum of Comtemporary Art
Web Sense Atrium

  • Timing- When to hold the event? (we need time for projects to be proposed and selected)


We want to create a timeline of deliverables for the various tasks, but our plan now (due to the holidays) is to aim to do the event in January after the holiday break.

  • How can we coordinate the buildup to this event in a way that brings the best outcome?


  • How do you create a space the day of that is productive to our goals?



  • Would the 10 Tactics film be something valuable for the night before to build creative ideas around the event ?

Overall people really liked the video and we are going to find a date to show it, most likely the week of October 25-29.

This event could be a chance to guage interest in Drumbeat and fuel some people to contribute projects.

  • Are there new thoughts about the value Drumbeat SD could bring to different communities ?



  • How do we share the value of the event to specific audiences as an outreach strategy ?



Further ideas for projects and breakout sessions

Broadening your online horizons 101:

Like the P2P university (building a whole core of programmers up) the curriculum are for ppl who want to be involved in the open web. Tech literate ppl, techies, plus artists --- what skills are essential to to full use the new media tools available online. Involves the internet itself. Create a wiki space before hand to suggest resources. How to get involved in open source platforms, creative commons. 2 week course, 2 hours- ppl might even do s creencasts down the line.

People could submit a DIY session or a project

Open Web 101 curriculum :
We create a presentation about open web that we can bring into classrooms and document what considerations went into making the presentation so that others can localize it to their communities.
