Initial Planning considerations

Honing our pitch: 

Vision- New Media Rights, collaborating organizations and individuals are bringing a Drumbeat event to San Diego. We aim to bring together artists, technologists, filmmakers, musicians, open culture advocates, people interested in law and media under one roof to foster relationships and new projects. Our workshops will be educational, fun, creative, participatory, and hands-on (DIY). We encourage people in these fields to offer feedback on how we can best serve the San Diego community through this event.


Possible topics to cover through workshops and sessions

  • Creative Commons (filmmaking, licenses), the open web, net neutrality, copyright law, fair use.


Planning Agenda

  • Review Drumbeat wiki and event related information (blogs, etc)


Initial outreach - Used a very open ended approach, details were to be left to those who wanted to help organize

  • Email to a small number of friendly creator/programmer/activists for some initial feedback
  • Wrote up introduction to the event: Posted it on New Media Rights website and the HASTAC website
  • Met with local artist / organizer / activist to discuss event & his gallery as possible event space
  • Mera discussed / pitched event with fellow San Diego Net Squared Admins
  • Discussed with progressive activists- Peace and Justice Coalition and CPR
  • Attended San Diego Bar Camp event to discuss with tech and science enthusiasts
  • Met with lead organizer of http://www.sdtechscene.org/


Challenges with Initial Outreach

  • Striking a balance of leading the project but getting ppl excited about contributing in a significant way
  • Developing a more clear pitch as to what the concept is
  • Figuring out how to structure an initial meeting of an organizing committee
  • Attendee profile - key question - Audiences: Is it going to be about 100 ppl who understand these topics and want to learn more?


Communication Outreach tips

  • Write out the different audiences you are interested in reaching out to and what they will get out of such a conference: Tech, Filmmakers, Journalists, Open Web enthusiast, Web Developers interested in open source.
  • Think about the people you know, connections or groups you would like to speak to and propose collaboration in Drumbeat.
  • Particularly focus on influencers, people whose networks reach beyond their friends, to larger groups of your target communities.
  • If you have the opportunity, speak to some of these leaders one-on-one to strengthen their commitment to the project and see if they have additional comments.
  • Think of the groups that you don't have access to, visit related blogs, online groups, and similar resources for contacts in the target communities.
  • Attend in-person meetings (like barcamp, hackerspace, etc) of the target communities to connect and share Drumbeat ideas with and build your base. Make sure to bring email contact lists and business cards to gather contact information and share your own.
  • Follow-up with new individuals and make plans to meet with them one-on-one to discuss the concepts before the planning meeting.
  • Work towards a planning meeting where leaders can give you feedback about some strong takeaways that their community could get from this event.
