Questions to consider: What kind of Communications Plan is best for this?

I am viewing this from a micro-campaign approach where first we would focus on getting in new organizers and then from there, at the end of October we would be already working on the 10 Tactics movie event and Drumbeat event.


Communications plan by month:

September: by the end of September I would like to rally up a core crew of ppl who have skills in outreach, leadership, can spread the word and contribute to event strategy.

That to me is the best micro-campaign for the time being.
We have tons of resources now that an individual could look at and understand fully the steps taken - to get them up to speed.

How can we focus our attention in reaching out for the maximum benefit of the event.


What events can we find more organizers at:
- The Cool as Ever Tech event was really good but we need to go beyond sending out emails. Something isn’t clicking with ppl out there about how they can get involved. ]

  • What is it that got current organizers on board and interested in being here ?
  • We need to get out there and explain it ! Nothing beats one-on-one communicaitons. Start-up weekend extra events. (Refresh San Diego)
  • Personal connections with ppl is really a great way to go.
  • Talk to P. about going to these events.

  • Right off the bat we should see the projects ppl have submitted.
  • When you visit the page it doesn’t feel ACTIVE.. Art suggests we could put up example projects that we think are cool themselves.


Define What is an organizer within your group, what makes an individual valuable as an organizer:

  • Belongs to a community group that maybe an organizer doesn’t. (TedX person who Stephen wants to bring in).


Nicole’s Notes:

  • Have each planner/organizer use face-to-face (is there a flyer or card we can hand out?), phone, email, & social networking tools to spread the word to recruit those who may be interested in attending the event.
    * What kind of social media tools should we use : #sddrumbeat and then also create a Facebook event ?

Stephan comments: don’t make a public Facebook event unless you found your organizers.


  • Contact local Meetup groups who encompass the target audience: artists, lawyers, technologists, educators, developers, marketing/media, video & audio to let them know what Drumbeat is, about the event, & what it looks to accomplish.

Do the leaders want to be involved ? Go to the meetup and meet the ppl. For organizers.
If we need more leaders than we should focus in on that. contact the group and if they are motivated than they can do it. Anita(SEO)


  • Contact area colleges & universities & invite professors, students, & staff. (City, Mesa, Grossmont, Miramar, Palomar, Mira Costa, SDSU, CSUSM, UCSD, USD, Point Loma Nazarene, etc.) How can we contact colleges better ?


Stephen: There are so many motivated students so mailing lists that this information should be sent out on. Target specifically students that ppl know that are leading the pack. Let the students spread the word.

We will be having another meeting in early September.


Additional Notes

At this stage- some time of email that communicates what this is (description) - we are looking for leader. how they can get involved ?

Openly talking - inviting them to the meetings. (you do need an in person sometimes). There is pizza there, in a MONTH (September meeting) It was nice for people to be there.

Bringing everyone before the meeting up to speed and then at the meeting moving forward.

Art: Build up should lead to a productive event- ppl need to look at the site and look at the projects before hand.


  • It's best if someone (planner/organizer) is already within a space to invite, explain, & answer questions about the event. Who are some organizers or additional event organizers that we can get in touch with to bridge the message ?


October: We shift into focusing on people who could propose projects and really push people proposing their projects on the Drumbeat project site https://www.drumbeat.org/projects and then sharing that link on the NMR’s site. http://www.newmediarights.org/nmr/san_diego_drumbeat_project_page
